Where Copilot Actually Gets Used: Teams, Outlook, Word
Copilot use is not spread evenly across the suite. It clusters in Teams and Outlook and thins out in Word, Excel and PowerPoint. If you are planning training, that pattern is the plan.
Most rollouts train the whole suite equally, which spends the same effort on the places people adopt on their own and the places they never get to.
What the pattern looks like
Survey data compiled in Stackmatix's 2026 adoption round-up puts daily use at roughly 34% in Teams, 33% in Outlook and 25% in Word, with Excel and PowerPoint lower still.
Read that as a shape rather than as precise figures. Communication tools get adopted. Document and analysis tools do not, at least not on their own.
Why the split happens
Meeting recaps and email drafts are one step. You are already in the app, the ask is obvious, and you can tell in three seconds whether the output was any good.
A spreadsheet task is not one step. You have to know what you want, describe data the model cannot see the shape of, and then check an answer that is expensive to check. That is a skill, and skills need teaching in a way that recap buttons do not.
What to do with this
Do not train evenly. Confirm the easy wins quickly and put the real hours where adoption does not happen by itself.
Stop promising the Excel demo. The impressive spreadsheet moment in the sales deck is the least likely thing to happen on its own after rollout. Promise it as an outcome of training, not of licensing.
Measure by app, not by seat. A seat that is busy in Outlook and dead everywhere else is a partial win being reported as a full one.
The uncomfortable read
If your usage is concentrated in Teams and Outlook, most of what your people are getting is a better version of writing an email. That is worth something. It is not what the business case was built on.
Closing that gap is the actual job, and it is training work rather than tooling work.
Which Microsoft 365 apps is Copilot used in most?
Daily use is highest in Teams and Outlook, around 34% and 33% in 2026 survey data, with Word near 25% and Excel and PowerPoint lower.
Why is Copilot adoption lower in Excel and PowerPoint?
Those tasks take more than one step. A person has to know what they want, describe data the model cannot see the shape of, and check an answer that is costly to verify. That is a skill, so it needs teaching.
Where should Copilot training focus first?
Confirm the easy wins in Teams and Outlook quickly, then spend the real hours on Word, Excel and PowerPoint, where adoption does not happen without help.
How should we measure Copilot adoption?
By app rather than by seat. A license that is busy in Outlook and unused everywhere else is a partial win that reports as a full one.
